The operator name and formal business details may be updated when the project’s legal structure changes.

Information you choose to provide

The contact page may ask for your name, email address, organisation or publication, enquiry type and message. When you choose “Send your note”, these details are transmitted securely to Poetry into Melody and recorded within the website’s form system so the enquiry can be answered and delivery problems can be investigated.

A notification may also be sent through the website’s email service. Form records and ordinary delivery metadata are processed only so Poetry into Melody can read, manage and respond to the enquiry.

Please do not include sensitive personal information unless it is genuinely necessary for your request.

Technical and security information

Like most websites, the hosting, caching and security systems supporting Poetry into Melody may automatically process limited technical information. This can include an IP address, date and time, requested page, referring page, browser or device information and records of errors or suspicious activity.

This information is used to deliver pages, maintain performance, diagnose faults, prevent abuse and protect the website. It is not used by Poetry into Melody to build an advertising profile.

Cookies, embedded players and external links

The public website does not offer visitor accounts or public comments. WordPress may use essential login and preference cookies for authorised site administrators; these administrative cookies are not part of the ordinary visitor experience.

Some pages offer embedded Spotify and YouTube players behind a media permission layer. A player is not loaded until you choose “Load this player” or allow that platform. Once loaded, the relevant platform may receive technical information, place or read cookies, and process your activity under its own privacy terms.

If you choose “Always allow”, that platform preference is stored locally in your browser until you change it through “Media privacy settings” in the footer.

The site also links to services such as Apple Music, Amazon Music, Deezer, Instagram and other external websites. A normal external link does not take you to that service until you choose to click it. Once you leave Poetry into Melody, the destination’s own privacy policy applies.

How information is used

Personal information is processed only where reasonably necessary to:

• discuss press, licensing, collaboration or other requested work;
• operate, secure and improve the technical reliability of the website;

Sharing and international transfers

Poetry into Melody does not sell personal information.

How long information is kept

Form entries and related email correspondence are retained only for as long as reasonably necessary to handle the enquiry, maintain an appropriate record of the relationship, resolve delivery problems or disputes, or meet legal obligations. Messages that no longer serve a legitimate purpose may be deleted.

Technical and security logs are retained according to the operational and security periods applied by the relevant hosting or security provider, and are not intentionally kept longer than needed for those purposes.

Your privacy rights

Depending on where you live and which law applies, you may have rights to ask whether your personal information is processed; request access, correction or deletion; learn the purposes and recipients of processing; object to or restrict certain processing; request portability; withdraw consent where processing relies on consent; and raise a complaint with the relevant authority.
